Job Purpose
Determine future requirements to ensure the continuity of supply, economic requisitioning, correct item vocabulary, classification, and standardization to avoid duplication and ensure maximum usage of surplus/non—moving items and that stock levels are maintained at an optimum level.
Key Result Areas
• The Job holder ensures the correctness of Materials both in description and specification and quantities received and issued.
• For stock items under individual control, determine the forward stock level and the level forecast and take appropriate economic requisitioning action. Read, check, asses and challenge (where required) Inventory reports of stock levels. Review and amend (where required) stock level, comprising of buffer stocks, lead times forecasts and order frequencies to ensure optimum inventory levels and ensure that materials are ordered according to the specifications.
• Originate, initiate and/or approve all correspondence relating to foreign requisitions including supplier queries, claims and alternate materials requests, involving personal and telephone contact with user departments, technical and specialist personnel, developing alternate materials and the investigation of old records. Review various Inventory reports and statistical data relevant to the Controllers function. Liaise with IT and Financial accounting Department on all routine matters and queries arising from inventory reports.
• Regularly review slow moving, "Do Not Re-order's" and surplus stocks. Discuss possible usage with interested Departments. Recommend disposal of these items with no foreseeable use to ensure that user departments are aware of available stock items.
• Screen all line department requests for new items to be set up in stock and liaise with specialist personnel as necessary to ensure that all requests are valid and carry appropriate authorization without duplication.
• Review material, reservation requests that cannot be made available from stock or outstanding orders, recommends alternatives or initiates procurement to meet. the due start date to ensure that all material reservations which have to be procured are due to the unavailability of warehouse stock and alternatives.
• Regularly review inventory levels, report and account for fluctuations occurring in the designated areas to ensure that fluctuations are explained and accounted for.
• Conduct reviews and analyze information relating to materials, backed up with, suitable and relevant documentation, as required to ensure that material information and subject documentation is analyzed, maintained, and acted upon accordingly.
Knowledge Skills and Experience
Minimum commercial/ technical Diploma or equivalent.
• Minimum 5 years of experience in material control or Procurement in a large warehousing organisation preferably in oil refining related or heavy industry of which at least 2 years experience cover expertise in a similar capacity.
• Sound knowledge of computerized material control ERP systems such as Oracle.
• Working knowledge of the functions of the main user departments and their relationship to the material control function.
